Onboarding New Team Members In Bulk
Our clients have two primary ways they onboard their team members:
- Invite users and have them fill out their profiles, photo, and hometown.
- Manage the entire creation process, gather profiles, take photos, and then introduce their team to Connect once everything has been taken care of.
We support both options with the Bulk Create feature within Stella Connect. This feature can be accessed by going to Manage Teams > Add/Edit Team Members > Bulk Create.
NOTE: You'll want to create all managers first (if you have multiple layers of management that you are adding at once, you can leave the team leader identifier blank and individually set those once all users have been created). That way, when you create your agents, you can assign them to the correct team by using the manager's email address or custom employee ID.
- Download the template file and open in Microsoft Excel or another spreadsheet software.
- Add a row for each team member you want to add to Stella Connect.
- The following fields are NOT required: custom employee ID, hometown, start date
- Profile/bio and State or country are optional during this process. If they are left blank, the team member will be required to complete these fields as well as profile photo and the manager will get an email to approve the changes.
- Save the edited file as Unicode text or UTF-16 Unicode.
Once all team members have been added, they will receive a welcome email inviting them to set their password. If profile/bio, State or country and a profile picture have not already been set, they will be asked to complete their profiles. If all of these fields have already been completed by the admin, they will be taken directly to the Stream and they can begin sending out Connect requests.
Notes:
- Profile photos cannot be added in bulk. You can either create all users and then either add the photos to each profile yourself or have each team member upload their own photos.
- If you need time to get all of your team members added and photos set up before you roll out Connect to your team, you can use the Delay Welcome Emails feature. Ask your Client Success Manager for more details.
Best practice
It's important to keep your reporting relationships accurate within Stella Connect so that you are able to best observe trends and understand which teams are improving. For larger teams, we typically find clients doing a weekly sync so that their team member's info stays up to date.
